Special Events Rental Terms & Conditions

Rental Period and Pricing

Prices are subject to change until 50% deposit is paid. The rental rate on most equipment is for 1 to 3 days. Orders for weekend events may be picked up on Friday and returned on Monday. Rates for periods longer than 3 days are available by quote. However, we realize that preparing for your event is a lot of work so items may be picked up or delivered earlier than your event time (provided it does not interfere with another rental). Charges are based on time out, whether the items are used or not.

Gopher One (MN) or Digger’s Hotline (WI)

For the safety of our crew and your guests, Doucette’s will submit a ticket for an underground utility check seven days prior to your event. This is a requirement in order for our crew to properly secure your tent to the ground. The locate company will mark the ground according to where utility lines are located. The state locate will not provide us with information about above ground utilities (such as power lines) so please give us as much information about the event location as possible before we arrive. The customer will be responsible for getting any Private lines marked prior to delivery. If for any reason, the customer refuses a utility locate to be complete, Doucette’s may either cancel the tent rental or will use a weighted tent (additional charges will apply if we are not able to stake the tent down into a stakeable area).

Reservations & Payment Terms

All quotes will be honored for at least 21 days. All rentals require a 50% deposit to reserve the items. To reserve your order, send a check by mail, call with a credit card number, complete the online payment link, or stop by the office. All items scheduled for delivery must be paid in full at least seven days prior to delivery.

Site Visit

Doucette’s would be happy to schedule a time to visit your event location to ensure the tent and/or accessories fit your needs accordingly. We do charge a non-refundable fee for this service based on mileage to the site.

Cancellations and Reductions in Equipment

Cancellations within 60 days of delivery or customer pick up may result in a loss of 6% of the grand total. Cancellations within 14 days of delivery may result in 50% loss of payment. Customers may always increase the size of their order if inventory is available. Orders that are downsized within 30 days of delivery may still incur charges for downsized items. However, we realize that plans can change unexpectedly - if something comes up, talk to us and we will work together to find a mutually beneficial solution.

Damage Waiver

In order to alleviate charges for unexpected damages, a non-refundable 7.5% damage waiver is added to all contracts on the price of the items rented. The damage waiver is coverage for accidental breakage due to normal use. This does not cover loss, theft, unusual wear and tear, or abuse. Damaged items must be returned to Doucette’s Party & Tent Rental. If items are lost or stolen, the customer will be charged the current replacement cost. You may decline the damage waiver if you have proof of your own insurance policy that specifically covers “Rented Items”.

Security Deposit

A credit card may be stored on file for all equipment, dinnerware, glassware and flatware rentals. Additional charges may apply if items are returned dirty (when washing services are not included) or items are missing upon return. If items are not placed in the same location as delivered and not stacked and repacked in the original containers, there may be an additional charge. Responsibility of Equipment

Responsibility for all rental equipment remains with the lessee from delivery to the point of return, or from pick-up at our store until the point of return. Doucette’s will insure the quantity rented is the quantity delivered or picked up by customers, however customers are responsible for checking the quantity and condition of items upon delivery, or pick-up at our store. Please make sure all equipment is secured when not in use, and protected from the weather. Customers are responsible for cleaning charges if any items are returned unreasonably dirty, and replacement costs for missing items.

Tents

Please try to make arrangements for someone to be on-site the day of tent installation. Alternatively, it works great to mark the area of the tent with stakes, cones, or paint. Our trained delivery crew will use their best judgment to install the tent as close to your marking as safely possible. Please make sure all pet waste is cleaned up prior to installation. It is ideal to have grass cut days prior to tent installation, however it is possible after the tent is up - in this case the customer is responsible for rearranging tables, chairs, etc under the tent.

All decorations must be taken down prior to tent removal. Please do not use staples, nails, tacks, screws, tape, glue, etc. on the tent or tent poles to hang decorations. This poses a safety hazard to our employees as it is easy to cut a hand on these sharp objects. Please remove any residue left on the tent or on sidewalls prior to arrival of our takedown crew or prior to returning items to Doucette’s. Additional charges may apply if items are not returned in the condition in which they were originally rented.

Delivery and Set Up

We can deliver to any location; delivery charges vary based on the distance from our store. Additional charges may apply for deliveries outside of regular business hours (example; Early morning or Late night (times are based specifically off of sunrise and sunset). Deliveries that require us to hand carry items, or deliver to a location other than the ground level within 50’ of our delivery vehicle, may be charged a fee in addition to the standard delivery fee. We can certainly help you set up and take down all of our items, although additional labor charges may apply. Under rare circumstances, the delivery fee may increase even if the deposit is already paid if, for example, there is a change to the delivery location or the price of gas is significantly higher than it was when the reservation was made. For pick up, items should be placed in the same location they were delivered to. In addition, items should be stacked or repacked in the same manner in which they were delivered. If items are not placed in the same location as delivered, or stacked and repacked in the original containers, there may be an additional charge.

Late Night or Early Morning Pick-up/Delivery Fee

A fee of 15% (of the grand total) will be applied to orders that require pickup/delivery after one hour before sunset or before sunrise on that specific day.

Do-It-Yourself Tents

We offer tents for pick-up at our store which customers can set up themselves. All customer pick up tents include a $150 security deposit which can be refunded if the tent is returned in similar condition to how it was picked up. We recommend that you contact Gopher One (MN) or Digger’s Hotline (WI) to have the underground utilities marked. Please return all tents, poles, and stakes in the provided bags. There will be a charge for missing items.

Customer set up pole tents require full staking around the perimeter of the tent so a grassy or gravel area is best for installation. Doucette’s will provide instructions upon pick up. Doucette’s Special Events Rental, LLC Terms & Conditions

Sidewalls

Sidewalls are not included in the tent rental price, but we can certainly provide them for an additional charge. If you rent sidewalls for your tent, please do not drop or leave the sidewalls on the ground. If you do not want to use the sidewalls, please fold them back or roll them up and put them in a clean, dry location. Customers will be responsible for cleaning charges if any items are returned dirty, and replacement costs for sidewalls with irreversible damage from being left on the ground.

Cleaning

Items must be returned clean and in their proper containers. Additionally, please remove staples, tape, and other foreign objects from all rental items. Cleaning charges will be assessed if items are not in the same condition as when they were originally rented.

Dishware

All of our china, glassware, and flatware come sterilized, bagged, and “table ready” for your immediate use. Please return items “food free” (scraped/rinsed - a thorough washing is not necessary) and in their original packing containers. Alternatively, we can wash the dishes for you! A 50% dishwashing fee on the rental price of the dishware applies. If we are cleaning the dishware, please scrape all large food scraps into the trash.

Linens

Please shake out but do not wash table linens. Remember you will be responsible for damage to linens caused by mildew, burns, wax, or tears if the damage is not easily fixed. Skirting clips and pins need to be returned as well. Any adjustments to linen quantity, style, or color must be made at least 14 days prior to the delivery or pick up date for the event. No adjustments or refunds will be able to be made after the 14 day mark.
